Asana My Tasks: Updates & New Features

Category : Knowledge Share

Recently, the My Tasks view has changed in Asana. Tasks moving from Tomorrow to Today and other section adjustments are no longer functionally organized for many of PIC’s organizational purposes.

You can now create custom sections in the My Tasks view. Recently Assigned section remains and can be renamed but will always be where recently assigned tasks appear. Custom sections can help you automatically or manually sort tasks into manageable categories or priorities. These sections can have rules “based on due dates” which is a time-based rule that runs at midnight or “based on status” like waiting, meeting tasks, and blocked tasks.

Custom rules help you manage the My Tasks view. This can be used to move tasks from Today, Tomorrow, and so on as the previous version of My Tasks did. Triggers are based on tasks added or moved to sections, due dates, commenting, attachments, blocking, approval, and completion status. Actions include moving tasks to sections or projects, updating completion status, assignee, date due, commenting, and adding collaborators or comments.

Some examples might be:
Due date is approaching: moves task to appropriate section
Task is marked complete: move it to Done section (and reverse)
Adding a comment: inserts “closing this task” when you mark the task complete
Moving unblocked task: allows the task to appear in recently assigned

Other methods of managing your My Task view include:
Sort by date within sections: for example, in your upcoming tasks section, you can list them in order of their due date.
Move tasks from one section to another: by clicking the up/down arrow icon in the list view.
My Task as a board view: if you prefer viewing tasks in Board View, it is now available and makes moving tasks from one section to the other by dragging easier.
Calendar view to plan work time: though this is not a new feature but with the start and end dates in calendar view, you can plan when to begin future tasks and how much time they should take.

Here are some additional items to keep in mind moving forward with the new Asana update and My Task management in general. Start date is the date that the task should be reviewed and “liked”. It is when the task should be started to allow enough time to get additional info and completed by the due date. This can be today for urgent tasks or a later date to allow the assignee more time to thoroughly review and accept. Due date is when the task should be completed, either on that date or near it.
